Assigning Cards

A Card in CloudAccess Key is any credential a User presents to unlock a door. Cards can be:

  • Physical cards (printed, programmed by your dealer or in-house enroller)
  • Key fobs
  • Mobile credentials (phone-based, via NFC or Bluetooth)

Each Card has a unique number printed or encoded on it. You associate Cards with Users so the system knows who is using what credential.

Before you assign Cards

  • The User must already exist — see Managing Users
  • You need the Card Number (printed on the card or supplied by your dealer)
  • For mobile credentials, the User must have the CloudAccess Key mobile app installed

Steps — AccessCore One controllers

These steps cover AccessCore One controllers (V2 interface) — the current platform.

Step 1: Open the User's profile

Step 2: Open the Cards / Credentials section

Step 3: Add a Card

Enter the Card Number and (optionally) a label like Primary fob or Backup card.

Step 4: Save and verify

Test the Card at a door the User's Group is permitted to access.

Steps — Legacy controllers

These steps cover legacy controllers (V1 interface) — for sites not yet migrated to AccessCore One.

Mobile credentials

To send a User a mobile credential:

  1. Confirm they have the CloudAccess Key mobile app installed and signed in.
  2. On the User profile, choose Issue Mobile Credential (V2) or Send Mobile Pass (V1).
  3. The User receives an invitation in the app and accepts.

Reassigning and revoking Cards

  • Reassign — remove the Card from User A, then assign to User B. Don't share Card Numbers across two active Users.
  • Revoke (lost / stolen) — mark the Card as Lost on the User profile. The system stops honoring that Card Number immediately even though the physical card may still exist.
