Setting Permissions
Permissions in CloudAccess Key tie the four core concepts together: they say which Groups can use which Doors, on which Schedule. Without Permissions, even a User with a valid Card cannot open anything.
Before you set Permissions
You need:
- At least one Group created
- At least one Door in the system (added by your dealer during install)
- Optionally, a Schedule (time window) — defaults exist for
24/7,Business Hours,Weekdays Only, etc.
How Permissions work
A Permission is a three-way link:
Group ──can access──> Door(s) ──during──> Schedule
For example:

Steps — AccessCore One controllers
These steps cover AccessCore One controllers (V2 interface) — the current platform.
Step 1: Open the Group you want to configure

Step 2: Open the Permissions / Access tab

Step 3: Add a Door-and-Schedule pairing

Select a Door, choose a Schedule, save.
Step 4: Add more Door/Schedule pairs as needed

A Group can have any number of Door + Schedule combinations. Each row is independent.
Step 5: Verify by badging in
Have a User from the Group present their Card at one of the configured Doors during the configured Schedule. The door should unlock and the activity log should show the entry.

Steps — Legacy controllers
These steps cover legacy controllers (V1 interface) — for sites not yet migrated to AccessCore One.
Step 1: Open the Group

Custom Schedules
The default Schedules cover most cases. To create a custom one (e.g., HOA Board Meeting Nights):
- Open Schedules in the main navigation.
- New Schedule → pick days and time ranges.
- Save.
- Return to the Permission and pick your new Schedule from the dropdown.

Common pitfalls
- User badges and nothing happens. Check, in order: (1) Card assigned to User? (2) User in a Group? (3) Group has a Permission for that Door? (4) Schedule covers the current time?
- Permission added but not taking effect. Most changes are real-time, but if a controller is offline, it may take a moment to sync once it reconnects.
- Forgot to remove old Permissions when restructuring Groups. Audit periodically — a stale Permission on a Group nobody uses anymore is invisible technical debt.
You're done with Phase 1
